How to create New Meeting in Outlook

Policy:
As of 11/15/2016 MSLCC as has put into place a policy for maintaining your personal calendar, scheduling meetings, and booking rooms. If you have not reviewed that policy please do so:

Proceedure
- Open Outlook, Go to your Calendar
- You can start by selecting a time that works for you on your own calendar. Just click on the empty space on your calendar grid.
- From the upper right, select “New Meeting”
- The “New Meeting” window will appear. Start by adding names just like you would to an email in the To… field.
- Continue adding attendees until everyone you wish to invite is listed in the two field.
- Outlook will now look at everyone you have added to the To field. Outlook will compare all the calendars in real time and suggest times in the bottom right of the meeting window and confirm the rooms availability count and how may attendees are available at that time as well. You can click on these times to automatically update the times of the meeting to be the suggested time.
If a conflict is identified the suggested time will display who is in conflict. - You can then use the “Show a room list” drop down to select a predefined list of rooms or just select all rooms. Only rooms that are free based on the selected or suggested time will be displayed. If a room is missing from the list, it is already booked. By clicking the room the Room will automatically be added as the Location and an Attendee. This is normal.
- Once you have finished click “Send”.
This will send accept requests to everyone included. This will also schedule the room for you. If successful your meeting will be added to the calendar of the room you selected, your personal calendar will also include the meeting, any attendees calendars will be “Tenative” until they reply with accepted, and the meeting will be copied to the “Meetings” calendar all from these few steps.
