How to Update Policies to Standard Format and Add add to Intranet

  1. Identify the Policy you wish to update and open it in Word.
  2. Also open the Policy - Template MSLCC.docx from the “Policies_to_Intranet” folder or from the link in this bullet.
  3. Update the template with the department name, policy name and policy/procedure #
  4. Go back to your completed policy and highlight and copy all the text in the body. Do not select the titles or policy names that will be redundant once added to the template you just modified.
  5. Switch back to the Policy template and paste your selected data.
  6. Save this document anywhere you keep policy versions. Do not overwrite any previous versions, keep them for archival purposes. Instead save it with a different name with a v01 or v02 etc. and the date in the file name to identify the version in the future.
  7. Then select “Save As” select PDF as the “Save as type” then depending on the type save your document in the Policies, Procedure, or Forms folder in Policies_to_Intranet folder with the name being exactly what is on the Policy Name Line for your policy. There is no need to add department names or “Policy:” or anything additional in the file name

How does this get to the intranet?

Scripts will run and scan the folder for changes. They will append the DepartmentName - Policy - , DepartmentName - Procedure - , or DepartmentName - Form - as a prefix to the Policy name you used as the file name. This can all be established automatically just by what folder you saved the file in.


What if I need to make changes to a policy that is already on the intranet?

  1. Open the WORD copy you saved in step 6
  2. Make the required changes.
  3. Repeat steps 6 and 7 this time OVERWRITE the policyname.pdf file you saved in the forms, policies, or procedure folders.
  4. Scripts will sync your changes to the intranet and can be viewed in a few moments.
