Preparing your document

Note: If you already have a document in pdf format, you can use that to send the fax. You do not need to print, then scan the document again to complete this process. This section of the guide will demonstrate how to get a document with a cover page included. You could achieve the same results with 2 pdfs and adobe acrobat. However, that process is considered advanced and will not be covered in this guide.

  1. Prepare the document to send as you normally would for a typical fax.
    ***This includes preparing, completing and attaching the appropriate cover sheet with your documentation.***
  2. Place the documents into the scanner document feeder. This should be in the order of cover sheet + the documents to fax. End goal is to have the scanned document contain the cover sheet as page 1 and the remaining pages of the pdf are your document pages.
  3. Scan the documents with a destination of "Send to My Email" or "Scan to my Z:\Scans"
  4. You should receive an email with the output of your scan job, save the file to a location of your choosing or locate the file in Z:\Scans if you used that option.
  5. Open the file. Ensure the Cover sheet is page 1 of the document and that all other pages scanned appropriately.
  6. If there is a problem with the order of the documentation, make any necessary corrections and repeat steps 1-5 until the correct output is achieved.

Using the FaxFinder Web Portal

  1. Go to https://fax.mslcc.com
  2. Login with your m#### and password

  3. Select "Send Fax"

  4. You will be taken to the Send Fax Page
    image

  5. Fill out the name, organization, fax and phone number fields under the Recipient Information section. Select "Add Recipient" when done.

  6. The recipient will then be added to the "Recipients" section. You can then repeat the previous step if you need to send the same fax to more than a single recipient. When you are done adding recipients, continue on with this guide.

  7. Since we are including the cover page with the scanned document, keep "No" selected for "Include cover page with this fax?"

  8. Select Choose File in the Attachments section

  9. You will be asked to select the file you created in steps in the "Preparing your document" section of this guide.

    You can add additional documents if you wish as well

  10. You can also expand and adjust the per job options. Things like attempts, priority and fax receipt can be adjusted to your liking here.

  11. When complete, select "Send Fax"

  12. You will be displayed the confirmation information

  13. You can then go to Status & Logs -> Fax Status if you wish to monitor the fax send
    image

  14. Once the fax has sent (or failed) you can find it under Status & Logs -> Out Bound Fax Log

    Select the magnifier next to the job to see the full details

  15. If the Status is "sent" then the job was successful, if it is listed as failed, this page will list the reason.

Adding Contacts

Note: If you have a frequent list of fax recipients you can add them to your contacts in the FaxFinder to easily select them when sending a fax. This way you do not need to re-enter their details each time. We can also enter Global contacts which all users have access to and can keep the process uniform and consistent. MSLCC IT must add these contacts. If you would like to request a Global contact be added please open a helpdesk ticket with the name/label of the recipient and their fax number.

  1. From the menu, go to Contacts -> Personal

  2. Select "Add"

  3. Enter the contact details and select save

  4. With the contact entered you will be able to select the contact on the Send Fax Page
