This page covers the MSLCC specific functions used on the shoretel and specralink handsets.


Shoretel User Guides

While the rest of the topics in this article cover the MSLCC specific features of the shoretel handsets there are many generic and standard functions on your phone that can be utilized. The User Guides and Quick Reference sheets linked to below will cover how to perform all of those functions. If you are looking for a way to set your voicemail greeting or program custom buttons for example these documents cover the procedure for doing so step by step.

Getting Started With The Phones


Deskphone (Shoretel 560 and 480g)

  • Screen Navigation: Select options displayed on the screen
  • Audio Controls: Volume button controls handset, headset, speaker, and ring volume. Mute, Speaker, and Headset keys illuminated when functions are active.
  • Softkeys: Context-sensitive functions defined on display. These keys will change as you receive calls, answer and place calls, view the directory, etc.
  • Function Buttons: Perform core telephone functions as labled.

  • Back Button: Returns to the previous On-Screen menu or option
  • Home Button: Returns to the main On-Screen menu
  • End Button: Ends / Hangs up a Call (Hold to power off the device)
  • Send Button: Press to initiate a call. This can be used after dialing a number or selecting one from the On-Screen menus (If pressed without dialing & and no number selected,then the recent call list will be shown)
  • Soft Keys: Perform various functions. The behavior of these buttons changes during operation of the phone. The 4 On-Screen tabs located above the Soft Keys will display their current functions on each screen.
  • Volume Buttons:Raise or lower the ringer volume when idle. During a call these buttons will raise or lower the volume of the earpiece or speakerphone.

How to Use the Directory


Deskphone (Shoretel 560 and 480g)

You can use the Directory to find phone numbers and extensions by title, first, or last name.

How To use the directory:

  1. Press the “Directory” Button.
  2. Press the Number Keys that correspond with the first few letters of the extension’s owner’s title, first, or last name to have the Directory narrow the number of entries for you. Press # for a space in a person’s name and press * for any character. If you press an incorrect key, press the “Back” Soft Key to delete the character
  3. Press Up or Down arrows on the “Scroll” Button next to the display to select the desired name. Press the “Dial” Soft Key to dial the number
  4. Conditional: For contacts with more than one contact number an additional menu will appear. This menu allows you to select the specific contact number. Press Up or Down arrows on the “Scroll” Button next to the display to select the desired number. Press the “Dial” Soft Key to dial the number

Cordless Phone (SpectraLink 8440)

Note: The cordless directory does not contain a full list of extensions

To use the directory:

From the Home Screen Select “Contacts / Call List” from the On-Screen Menu Select “Contact Directory…” from the next On-Screen Menu Use the “Up or Down Arrows” to Highlight a name from the On-Screen List Press the “Send” Button to initiate the call



How to Transfer a Call


Deskphone (Shoretel 560 and 480g)

You can transfer a call to another extension or external number. From the Shoretel 560 you can perform 2 types of transfers:

  • Blind Transfer: Transfers a call without speaking to the receiving party. The 2 calls are immediately connected.
  • Consultative Transfer: Transfers a call by speaking to the receiving party prior to the transfer.

Prerequisite: You must already be on a call to transfer a call

To Transfer a Call:

1. Press the “Transfer” Button. The call is automatically put on hold.
2. At the prompt, dial 9 + an external phone number, or dial an extension, or use the “Directory” Button to find the party, then do one of the following:

  1. Complete a Blind Transfer by hanging up or by pressing the “Transf” Soft Key.
  2. Speak to the recipient before transferring by pressing the “Conslt” Soft Key. After consultation, press the “Yes” Soft Key to complete the transfer, or press the “Cancel” Soft Key to abandon the transfer and return to the original call.
  3. Send the call to the recipient’s voice mailbox by pressing the “More” Soft Key, and then pressing “To MB” Soft Key.

Cordless Phone (SpectraLink 8440)

You can transfer a call to another extension or external number.

Prerequisite: You must already be on a call to transfer a call

To Transfer a Call:

1. Press the “Blind Transfer” Soft Key. The call is put on hold.
2. At the prompt you can do one of the following:

  • Dial 9 and then the external phone number
  • Dial a known extension
  • Use the Up and Down arrows to select a recently dialed number
  • Or use the phones directory:
  1. Press the “Home” Button to return to the main screen
  2. Select “Contacts / Call List” from the On-Screen Menu
  3. Select “Contact Directory…” from the next On-Screen Menu
  4. Use the Up and Down Arrows to Highlight a name from the On-Screen List Note: The cordless directory does not contain a full list of extensions

3. Press the “Send” Button to complete the transfer


How to Unpark (Announced Overhead) a Call


Deskphone (Shoretel 560 and 480g)

A parked call is essentially a call that has been placed on hold. Where the normal hold function can only be picked up from the line it was put on hold, a parked call can be picked up from any phone in the facility. This action is known as “Unpark”

Prerequisite: You must know the line a call is parked on. This can be any 3 digit extension. Typically an overhead page will be made announcing who has a call parked and what extension it is on.

ie. “Bob Smith, please unpark line 195” In this example Bob Smith would need to unpark extension 195.

To Unpark a Call:

1. Press the “Unpark” Soft Key. The following screen will appear:
2. At the prompt, dial the extension you need to unpark.
3. You will see “EXT Call Held” appear on the screen. (where EXT is the extension number you entered in step 2.) This confirms the call that was parked on that line is still available. If you do not see this the caller has disconnected.
4. You can then do one of the following to complete the unpark:

  1. Press the “Unpark” Soft Key. The call will be connected immediately.
  2. Wait ~3 seconds. The call will be connected automatically after this time.
  3. If you haven’t already done so, pickup the handset. The call will be connected immediately.

Cordless Phone (SpectraLink 8440)

  1. Dial the following string on the cordless phone: *12EXT (where EXT is the extension number you need to unpark. ie. If the extension you need to unpark is 195, then dial *12195)
  2. Press the “Send” button
  3. The call will be connected immediately.

How to Overhead Page

WASHINGTON

Dial 2099 from any campus phone and follow the instructions. Once the voice message is completed hang up the phone to end the page.

HILLVIEW

Deskphone (Shoretel 560 and 480g)

Prerequisite: Please review the Overhead Paging codes and notes before starting to complete overhead pages.

To Overhead Page:

1. Dial extension 1898
2. Wait for the call to connect. Important: The screen will display “Overhead Paging” and the call timer will begin counting up after a few seconds. YOU MUST WAIT FOR THIS TO HAPPEN BEFORE CONTINUING
3. Once conditions of step 2 are met you must enter the code for the zone of the building you wish to page.
You can page the Entire Building, MSLCC Only, or Westview Only

  1. Dial 00 for the Entire Building (To not disturb WestView Residents please use only when necessary)
  2. Dial 01 for MSLCC Only
  3. Dial 02 for Westview only (To not disturb WestView Residents please use only when necessary)

4. You will hear an audible overhead tone.
5. Speak your message normally into handset.
6. Once you are done, hang up.

Cordless Phone (SpectraLink 8440)

Prerequisite: Please review the Overhead Paging codes and notes before starting to complete overhead pages.
